Receptionist & Member Services Assistant (Part-Time)

About the Position

Grey Oaks Country Club, a prestigious Club in Naples, Florida, is seeking a part-time Receptionist & Member Services Assistant who will enthusiastically greet our members and guests and assist them with their needs. In this role you would be interacting with members and guests in-person, on the phone and by email. Some of the services provided by the Assistant would include administering guest passes, answering questions on Club policies, events and activities and directing them to the appropriate individuals who can assist them. The Assistant will have a full-time schedule which will include working weekends.

About You

You are an outgoing and personable professional with a background in customer service, member services, and/or general administrative duties coupled with an interest in the hospitality industry. You are adept at effectively communicating with all types of people. You are organized, a problem solver, and highly proactive. You understand that service is at the heart of your job.

You understand and live by the concept of being a "team player," making sure that collaboration is essential to your success, as well as the success of those you work with.

Your wisdom is clearly understanding what you know and what you don't know, and making sure that the right person handles the right problem.

Primary Responsibilities

  • Exceptional interpersonal, customer service and communication skills
  • Well-organized and professional
  • Ability to act with a sense of urgency and be calm under pressure
  • Familiarity of phone systems with multiple lines and functions in answering, retrieving voicemail messages and routing calls
  • Proficient in the use of Microsoft Office, specifically Outlook, Word and Excel - knowledge of NorthStar and/or Asset Essentials is plus.
  • Assist Members and executive team with clerical tasks (i.e, typing, scanning, printing, filing, editing documents, mailing packages)
  • Create guest passes for Members.
  • Receive and sort all mail, direct to the appropriate department/individual
  • Communicate with departments to keep track of events and daily operations (i.e, BEOS, Events calendar, event details, hours of operations) to ensure accurate and consistent information for Members and guests.
  • Ability to retain names and Club information and respond to members by name and inform them of Club events and activities
  • Familiarity of the club industry is helpful
  • Some formal education in hospitality or related experience is desirable

Education/Experience

  • Minimum 1 year of experience in an professional administrative and/or receptionist position
  • Experience working at high end private club or in the hospitality industry desired
